Corporate Event Planner Location Hybrid work in Westbrook, ME : As a Corporate Event Planner II on the IDEXX Hospitality team, you will plan and execute internal corporate meetings and employee engagement events for IDEXX. This position will have a focus on the World Campus Conference Center (WCCC) in Westbrook, ME and its daily operations. What you can expect in this role You will partner with key business leaders and administrators to create enriching meetings/events tailored to meet the specified needs of the business. You will provide high-quality service, excellent operational efficiency, and creative/innovative experiences to your customers throughout all stages of the meeting, event, and project coordination process. You will be responsible for executing meeting/events in the WCCC, including Catering food & beverage detailing, AV arrangements, custom Facilities setups, transportation, team building, networking activities, entertainment, budget tracking, etc. You will proactively identify projects needed to enhance team experience, standardize practices and take initiative to help Hospitality increase efficiency. You will lead planning for large-scale employee engagement events and be a liaison that may include campus-wide celebrations, award ceremonies, wellness initiatives, and more. You will provide detailed post-event reporting to your customers, itemizing costs and other information, including cost avoidance and savings for various categories. You will be responsible for selecting the meeting/event's venue including a comprehensive RFP and contract negotiation process for offsite events. You will identify trends and share creative ideas for all IDEXX Hospitality - dining, catering, event planning and business support services - to move the team forward and “create an experience”. You will cultivate meaningful relationships by instilling trust, prioritizing tailored communication and embrace shared learnings. You will provide consistent, proactive communication and follow-up for all relevant parties. You will multitask and manage multiple meetings/events and projects and at the World Campus Conference Center in Westbrook, ME, and other global locations. You will be an administrator for the IDEXX Hospitality Services software programs - EMS, Cvent and make recommendations for improvements. You will lead efforts to research, analyze and recommend appropriate meeting solutions and tools to support business objectives This is a hybrid position with a strong onsite presence required. Flexibility in work hours is expected, including early mornings and occasional evenings, based on event schedules and operational needs. What you will need to succeed You have a Bachelors' degree in Business, Communications, Public Relations, Marketing or Hospitality Management, or a related field. You have 3-5 years of direct experience planning corporate events. CMP certification and hotel experience are a plus. You are comfortable interacting with multiple levels of management. You are an excellent steward of employee engagement programs and a highly organized team player with the ability to prioritize and handle multiple projects simultaneously. You thrive on being detail oriented and organized. You understand the importance of gaining confidence and the trust of others through honesty, integrity, and authenticity. You possess excellent written and verbal communication skills. You are comfortable providing alternative suggestions to satisfy the needs of multiple stakeholders. You excel in customer service and are passionate about exceeding expectations. You have strong analytical skills and the ability to successfully negotiate contracts with external vendors. You have experience using event management platforms. EMS and Cvent experience preferred. You are comfortable taking the lead and will make decisions during times of ambiguity.
